PRIVACY POLICY STATEMENT

It is the policy of the company to take all reasonable steps to protect the privacy and security of individuals' data that we may host whilst, at the same time, minimising any adverse impact that such actions may impose on the business.

We recognise, support and will promote the benefits that the GDPR will bring to the recruitment industry as a whole, and will, so far as is reasonably practicable, establish procedures and systems necessary to support such a policy.

We want to provide a safe and secure user experience. We will ensure that the information that you submit to us via our website, through our offices or via any job-boards we may advertise on is only used for the purposes set out in this policy. 

The Information we Collect:

Perfect Fit People Recruitment may collect your personal details, including but not limited to your name and contact details (together with your e-mail address) and any other relevant information from your CV. On occasions this may also include - sensitive personal information such as details of criminal convictions and/or health conditions. This information is held, used and disclosed by us as further described within this policy.

Your Right of Access:

You have the right at any time to ask us for a copy of the information supplied by you that we hold. We may ask you to verify your identity and for more information about your request. We also have the right to charge an administrative fee for this service. Where we are legally permitted to do so, we may refuse your request and will give you reasons for doing so.

Your Rights to Object or be Forgotten:

You have the right at any time to object to us holding/processing your data and unless your data is being held or processed for the establishment, exercise or defence of legal claims then should you object we must stop using your data immediately. You also have the right to erasure, or be forgotten, which you can exercise by contacting us at gdpr@perfectfitpeople.co.uk where you request will be given due attention.

The Individuals Rights:

Perfect Fit People Recruitment recognises that GDPR provides the following rights for individuals:
      •    The right to be informed;
      •    The right of access;
      •    The right to rectification;
      •    The right to erasure;
      •    The right to restrict processing;
      •    The right to data portability;
      •    The right to object;
      •    Rights in relation to automated decision making and profiling;

We outline how we meet those rights within our privacy policies which are made available via our website. Those policies are also available by contacting our Data Protection Officer (Mr S G Edmondson) by email at gdpr@perfectfitpeople.co.uk or by post at Fen, Rheda Park, Frizington, Cumbria. CA26 3TA.

Where we retain or process your data, access to that data is restricted to Perfect Fit People Recruitment personnel* and its security is assured by the use of complex passwords, physical security, protection by state-of-the-art anti-virus and anti-malware software and, in the case of mobile devices, the ability to lock and/or wipe clean remotely any lost or stolen devices. Data is only retained for the duration that it is reasonably required and is normally removed from our systems after a maximum period of 5 years.

* Note: Access to your data is granted to third parties (your prospective employers) only after you have granted us specific consent to do so.

The Information we Collect and How we Use It:

Perfect Fit People Recruitment may collect your personal details, including but not limited to your name and contact details (including your e-mail address) and other relevant information from your Curriculum Vitae (CV), from our Declaration Form, from our Registration Form, and/or from any proof of identity you may provide to us. On occasions this may also include - sensitive personal information such as details of criminal convictions or health issues.

This information is held, used and disclosed by us as follows:
      •    To provide our Services to you, and/or to answer your Enquiries;
      •    To maintain our Business Relationship whether you are a Candidate, a Client or a Supplier;
      •    To enable you to Submit your CV for general applications, and/or to Apply for specific jobs;
      •    To Match your details with job vacancies, and to Assist us in finding a position that is most suitable for you;
      •    To send your personal information (including sensitive personal information) to Clients in order to apply for jobs;
            We will seek your specific consent prior to doing this;
      •    Where you are a Client, or a Supplier, to fulfil contractual obligations with you;
      •    To direct-market Products and/or Services, to advise you of News and Industry updates, Events, Promotions and
            Competitions, and other information;
            Where we do so, you will be able to unsubscribe from such communications;
      •    Where we share your personal information with a third party we only do this where they comply with similar
            undertakings of privacy and confidentiality as we do;
      •    We may also release personal information to regulatory or law enforcement agencies, if they require us to do so;
            We will also disclose your information where we are permitted and requested to do so by law.

How we Manage Data Requests / Updates / Deletions:

You have the right at any time to ask us for a copy of the information supplied by you that we hold. We may ask you to verify your identity and for more information about your request. We also have the right to charge an administrative fee for this service. Where we are legally permitted to do so, we may refuse your request and will give you reasons for doing so.

When responding to a request for copies of the data we hold about you the information will normally be provided in a portable electronic format such as .pdf and/or .jpg; if you require paper based documents then this may incur additional administrative and/or postal charges.

You can update the data we hold about you at any time. We may ask you to verify your identity before we agree to do so. We can then accept data updates or replacement documents (preferably in electronic format). Your old data will be replaced with the update(s) and subject to your agreement any third parties to whom your data has been shared by us can be informed of the updates accordingly.

You also have the right to ask Perfect Fit People Recruitment to stop using your information. However, if this involves a request for deletion of your file, please be aware that we may not be required or able to do so, particularly where your file also holds information about our clients or financial information that we need to keep for periods of up to six years, i.e. that relate to tax matters. Where we are unable to comply with your request we will provide reasons for failing to do so.
